The Complete Wedding Planning Checklist
Every wedding is different, but the order things need to happen in usually isn't. Here's a realistic, function-by-function timeline — from the first venue call to the day-of emergency kit.
9–12 Months Before
Lay the foundation
- Set an overall budget, and a rough split across venue, décor, catering, outfits and vendors
- Decide on a guest count range and city — this drives almost every other decision
- Shortlist and book your venue(s) and lock the date
- Decide which functions you're having — Engagement, Mehendi, Haldi, Sangeet, Wedding Ceremony, Reception — since each may need a separate space or vendor plan
- Start meeting planners — the earlier you bring one in, the more they can actually save you
6–9 Months Before
Lock the big vendors
- Finalise your planner and decorator, and agree a mood board / theme direction
- Book photography and videography — the good ones get booked out furthest in advance
- Start bridal and groom outfit shopping for every function, not just the wedding day
- Send save-the-dates, especially to outstation guests who'll need to plan travel
- Begin your guest list in earnest, function by function
3–6 Months Before
Bring it to life
- Finalise catering and do menu tastings for each function
- Book entertainment — DJ, live band, or a Sangeet choreographer if you're doing performances
- Confirm décor themes and colour palettes per function
- Order and send formal invitations
- Schedule hair and makeup trials
- Book accommodation blocks for outstation guests
1–2 Months Before
Tighten every detail
- Confirm final guest counts and seating with every vendor — caterers especially need this locked
- Build a detailed run-of-show for each function, hour by hour
- Confirm outstanding vendor payments and payment schedules
- Arrange travel and transport for family and outstation guests
- Finalise outfits and jewellery for Mehendi, Haldi and Sangeet, not just the main day
1–2 Weeks Before
Final stretch
- Reconfirm arrival times and delivery windows with every vendor
- Do final fittings for all outfits
- Walk through key rituals with family so everyone knows their part
- Pack for the honeymoon now, while you still have time to think
- Assign one point person per function who isn't the bride or groom, for on-the-day questions
Wedding Week & Day-Of
Let go and enjoy it
- Put together an emergency kit — safety pins, stain remover, blotting sheets, painkillers, a phone charger
- Confirm all vendors have arrived and are set up before guests do
- Hand the run-of-show to your point person and step back from logistics
- Eat something before the rituals start — genuinely, this gets forgotten every time
- This is the one you'll remember — let someone else carry the checklist today
A checklist gets you organised. It doesn't handle the vendor who cancels three weeks out, the seating chart that needs redoing at 11pm, or the small moments that make a celebration feel personal rather than assembled. That's the part a planner actually exists for.
